How Payments Work on NewVia

This page explains, in one place, how money moves when a client books and pays through a booking page powered by NewVia. It is written for clients, for the businesses that use NewVia, and for payment providers reviewing our platform.
1. NewVia Is a Marketplace Platform
NewVia provides booking, scheduling and payment technology to independent wellness and beauty businesses — salons, spas, yoga and pilates studios, gyms, aesthetic and wellness clinics. Each of those businesses sells its own services, under its own name, on a booking page powered by NewVia.
NewVia is the platform operator. NewVia is not a payment aggregator, payment facilitator of record, payment institution, money services business, collecting agent or escrow provider, and does not aggregate merchant funds under a single master merchant account.
2. Who Sells and Who Is Paid

3. Sub-Merchant Onboarding
Before a business can accept payments, it is onboarded as a sub-merchant (connected merchant) of a licensed payment provider, under that provider's marketplace/platform API.
- The payment provider performs identity, business and beneficial-ownership verification (KYC/KYB), sanctions and anti-money-laundering screening, risk assessment and ongoing monitoring.
- Each business holds its own account with the provider, in the name of the legal entity actually operating the business.
- NewVia screens applicants against its Prohibited & Restricted Businesses policy before and after onboarding, in addition to the provider's own rules.
- The provider may decline, limit, suspend or close a sub-merchant account at its discretion, and NewVia will offboard a sub-merchant on the provider's instruction.
4. Split Payments and Settlement
Every transaction is processed as a split payment at the payment provider level:

NewVia never receives, holds or routes the client's funds.
- The business's share settles directly into the business's own sub-merchant account, on the provider's payout schedule and subject to any reserve, hold or verification requirement the provider applies.
- NewVia's platform fee is consideration for use of the software only — it is not a charge for money transmission, settlement or payment processing.
- NewVia has no ability to redirect, withhold or draw down on a business's settled funds.
5. Card Data and Security
Card details are captured in fields served by, and transmitted directly to, a licensed payment gateway certified to PCI-DSS Level 1. NewVia does not store, process or transmit full card numbers, CVV/CVC codes or PINs on its own servers. See Booking Payments & Refunds for the client-facing detail.
6. Refunds and Disputes
Refunds are decided under the business's own published terms. Clients must raise a refund or billing issue within seven (7) calendar days of the payment date or the appointment date, whichever is later; NewVia acknowledges within two (2) business days and resolves eligible requests within seven (7) business days. NewVia operates the refund and dispute workflow on the business's behalf: the refund or dispute amount is debited from the business's connected account and returned to the client.
